The close, worked in order and reported daily

Nobody dislikes the close because it is hard. They dislike it because it is a fortnight of chasing other people for documents while answering the question "where are we". Dutta does the chasing and answers the question every day.

The work today

The checklist is real, the progress is not. The list of what has to happen exists. What has actually happened to each item lives across a spreadsheet, an inbox and three memories.

Most of it is chasing. The accrual is not the work. Getting the invoice, the contract or the answer out of another department in time for the accrual is the work.

"Where are we" is a meeting. Status is assembled by interrupting everyone doing the close to ask them how the close is going.

Things are not skipped on purpose. They are skipped quietly, by an item nobody picked up, and found in the following month or by the auditor.

What Dutta does, in order

From the first working dayWorks your close checklist in the order you set it, item by item, rather than in the order things arrive.
Per itemGathers the supporting documents and attaches them to the item, so the evidence sits with the entry rather than in an email thread.
DailyReports what closed, what is blocked, and who each blocked item is waiting on.
At the endReports what is still outstanding instead of quietly skipping it.

What it reads and writes

An AI employee holds scoped credentials — read, write or send, per system — and nothing beyond its mandate. Permission is granted per system, and revoking it takes effect immediately. For this job that normally means:

  • Ledger — read, to work the checklist and gather balances
  • Documents — read, for the supporting evidence behind each item
  • Email — draft only, until you grant send

Where a person stays in the loop

Dutta prepares, drafts and flags; a person approves anything with a consequence. You name the checkpoints, and for this job they usually are:

  • Every journal entry, accrual and write-off
  • Any item marked complete without its supporting document
  • Anything that reaches a customer, a supplier or an auditor

Questions

Does it close the books?

No. It works the checklist, gathers the evidence and reports the state of it. Entries and sign-off stay with a person, and you set which of them wait for approval.

What happens when an item is blocked?

It says so the same day, names what it is waiting on and who it is waiting for, and keeps chasing within the mandate you gave it rather than silently stalling.

Do we have to change our close process?

No. It works your checklist, in your order, against your ledger. There is no template to adopt and no onboarding period to sit through.
